Clean Air Task Force (CATF) is a nonprofit organization working to safeguard against the worst impacts of climate change by catalyzing the rapid global development and deployment of low-carbon energy and other climate-protecting technologies. This is accomplished through research and analysis, public advocacy leadership, and partnership with the private sector. CATF is highly respected for its deep expertise and research on energy and industrial systems and potential strategies, technologies, and policies that can radically shrink their impact on the planet’s atmosphere. Our team of experts and advocates (and global network of subject matter experts and civil society partners) put this research and knowledge into action by designing and enacting public policies that drive toward zero emissions. We also support policies and work directly with private industry to innovate in technology to make the path to zero emissions swift and affordable. CATF has offices in Boston, Washington D.C., and Brussels, with staff working virtually around the world.

ROLE

CATF is seeking a highly organized, proactive, and mission-driven Operations Coordinator to ensure the efficient operation of our Boston office and support organization-wide operational effectiveness. This is a critical role that ensures our staff have the tools, environment, and support they need to focus on delivering meaningful climate impact.

This is a hybrid position based in Boston, with an expected presence in the office of at least two days per week. The Operations Coordinator will be expected to be onsite to provide logistical and operational support during meetings, events, and other key activities held in the office.

Key Functions and Responsibilities:

Operational execution and office support (Boston in-person and D.C. remotely)

  • Coordinate daily administrative and operational tasks to ensure the smooth functioning of the offices
  • Handle logistics for meetings and events, setup, catering, and video conferencing support
  • Monitor and respond to office voicemail and key shared inboxes
  • Track and report office usage

Internal coordination and stakeholder support

  • Liaise with internal teams, staff, and new hires to ensure timely delivery of operational services
  • Support onboarding processes by coordinating systems access, subscriptions, and office readiness
  • Facilitate internal communications and scheduling across multiple functions
  • Provide general administrative support to the Director of Operations and assist with special projects

Vendor and contract management

  • Oversee relationships with key vendors (e.g., water deliveries, recycling, cleaning services, etc.)
  • Coordinate with property managers regarding maintenance notices, service issues, and space reservations

Systems, tools, and subscriptions

  • Maintain accurate records and tracking tools for subscriptions, expenses, and office services
  • Add or remove users for news subscriptions; manage subscription audits and budgets
  • Support tool optimization and internal documentation to improve operations knowledge management
  • Manage a purchasing card for approved business expenses

Skills/Qualifications:

  • 2-5 years of experience in operations, office coordination, or administrative support
  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a dynamic, fast-paced environment
  • Demonstrated autonomy and sound judgment in handling tasks and solving problems
  • Strong project management skills and ability to track progress, timelines, and deliverables
  • A collaborative mindset and commitment to delivering excellent internal service
  • Proven ability to work effectively as a team player, across functions and geographies

Compensation and Location: 

This is a full-time, hybrid position based in the Boston area. This position will be expected to travel to other locations on occasion. CATF offers an excellent benefits package (details available on our careers page) and an annual salary range of $73,000 – $85,000 commensurate with experience.
